Set up your academic structure

Create the programmes, academic periods, cohorts, and course definitions your institution needs before delivering courses.

Before you begin

  • You need an owner, administrator, or academic coordinator role.
  • Set these up in order: programmes, academic periods, course definitions, cohorts, then course offerings.
  • Everything can start as a draft and be activated when it is ready.

Programmes

A programme is an academic pathway (degree, diploma, certificate, or short course).

  1. Open Academic → Programmes and choose New programme.
  2. Set the code, name, award type, and level, and link it to the owning organisational unit (school or department).
  3. Set the effective dates and save the draft, then activate it when ready.

Academic periods

Academic periods structure when courses are delivered.

  1. Open Academic → Academic periods and choose New period.
  2. Pick the period type (academic year, semester, or short-course session) and, where relevant, the parent period.
  3. Set the code, name, and start and end dates. Keep future planning periods in draft until you are ready.
  4. Publish or open the period so offerings can be attached.

Course definitions

A course definition is the reusable identity of a course.

  1. Open Academic → Course definitions and choose New course definition.
  2. Set the course code, title, level, credit units, and delivery mode, and link it to the owning organisational unit.
  3. Save the draft, then activate it so it can be used to create offerings.

Cohorts

A cohort is a group of students progressing through a programme together.

  1. Open Academic → Cohorts and choose New cohort.
  2. Link it to the programme, academic period, and campus, and set the code and name.
  3. Save the draft, then activate it when intake is confirmed.
